The Documents module of the SCALAR Cargo app provides drivers with a secure, automated, and centralized document management solution. This module aims at digitalizing and streamlining the documentation requirements for defined workflows and for ad hoc data gathering, for example, consignment note, bill of lading, and expenses sheet, while a driver executes their work. These documents serve as evidence of proper handling and delivery of goods and visible to the dispatchers at the back office.
- Drivers can upload specified document types for linked assets based on the assigned profile. They can also upload document types not included in the profile assigned if specified for the defined workflow.
- The asset is linked to the driver after the tacho card is inserted in the tachograph or after manually selecting the asset from the Cargo app.
Scenarios for document upload
Upload document independent of a workflow #
This section describes how a driver can upload documents from the Documents tab independent of the workflow. These document types are mapped to a profile, which is assigned to an asset linked to a driver.

- Sign in to the SCALAR Cargo app on your smartphone device and ensure that you are linked to the correct asset. The Activities screen is displayed.
- Tap Documents. The Documents screen is displayed.
- Tap Add document. The Document types page is displayed.
- Select a document type from the list. The Document details screen is displayed.
- Tap Add photo. In this example, the document type format for upload is specified as ‘Photo’. As a result, you can upload only photos.
- Tap the image source:
- Camera: Take a photograph of the document to be uploaded.
- Gallery: Select an existing image from your device gallery
- Select the required photos. The selected images will appear as thumbnails on the Document details screen.
- Enter additional information in the Comment box, if required.
- Tap Submit document. The document is uploaded to the SCALAR app.
Documents you have uploaded during the last 24 hours are listed.
Document types configured in your assigned profile are listed on this screen.
In this example, ‘Bill of Lading’ is selected.
You can add a maximum of 10 photos.
Tap Delete  to remove the photos.
The uploaded documents are listed in the Your documents section on the Documents tab.
The Uploading icon  next to the thumbnail image denotes that the image is being uploaded. Click the document to view the document details (the file thumbnails and the comments).
Upload documents through a defined workflow #
This section describes how a driver can upload documents through a defined workflow.
- Sign in to the SCALAR Cargo app on your smartphone and ensure that you are linked to the correct asset.
- Start an activity with a workflow linked. The subsequent steps demonstrate an example where a document must be uploaded as configured.
- Tap Add scan (+) to scan the document.
- In the Comment box, enter additional information, if required. Tap Next to proceed.
After answering all the questions, the responses will be summarized on a screen. You can now view your uploaded document on the Documents tab.
Upload ‘Signature’ document type
Document of type ‘Signature’ can only be uploaded from within a defined workflow. If a signature is required, it can be captured through the SCALAR Cargo app during workflow execution. For example, while after delivering the goods, the receiver could be prompted to insert their signature in the Signature box as illustrated in this image.
The driver will not be able to view the signature after it is submitted.
