This guide explains the process of booking rides on behalf of travelers, who can for instance call the transport operator. In SCALAR, the Booking Agent role grants access to this feature of the Web App.
From the left sidebar, access the Bookings page, and in the upper-right corner, click Create a booking.
Here is a quick summary of the steps to achieve along the booking funnel.
1. Select who is traveling #
- Selection or creation: A traveler must be selected or created by providing personal details.
- All fields are required: first name, last name, legal age, phone number, email address.
- The phone number must be unique.
- The email address must be unique for adults.
- Passenger load: The booking passenger load is one traveler by default, but can be increased without limitation.
NOTE: If the traveler has the Traveler App installed, they can follow their ride as if they placed the booking themselves, but they do not receive push notifications. They also see that the booking was created on their behalf in the ride details.
2. Define the journey details #
- Past bookings: If any, up to three past completed bookings are listed to be reused.
- Origin and destination: If not set from a past booking, addresses, public places, or service stops must be selected from search results. If needed, locations can be adjusted on the map.
- Desired time: Immediate departure is by default, but it can be changed to a later departure or an arrival time. There is no restriction or limitation in the future. Enabling flexibility, using the toggle button, makes it possible to add a buffer around the pickup or dropoff time.
WARNING: Unlike in the Traveler App, quotes are not filtered with the service area and service hours. A booking can still be placed with an origin or destination outside the service area, granted that the locations are within the site boundaries and supported by the routing configuration. Quotes will also be returned even outside service hours, however, the booking will be rejected as there is no vehicle shift defined.
3. Choose the service #
- Quote selection: The first quote is selected by default, but another one can be selected.
NOTE: Paid services and in-app payment: The fare is indicative and is not linked to any payment process, even if they have the Traveler App with payment methods. Payment is only supported for bookings placed via the Traveler App directly.
4. Get the confirmation #
The booking is either accepted, meaning the ride is scheduled, or rejected. It is possible to quickly create another booking or to go back to the Bookings page.
- Accepted: The journey details and booking summary are displayed, with links to other Web App pages for quick access.
- Rejected: Reasons such as no vehicle available because the fleet capacity is full, or none of the vehicles can make it on time, are displayed.
